Porterhouse Insights is the global research, insight and evidence consultancy of Porterhouse Medical Group (part of the SCIRIS network*), which was established in 2017 to generate actionable insights to meet evolving client needs.
The team works with healthcare and pharmaceutical clients across R&D, commercial and medical to answer ad hoc research questions with global primary and secondary market research studies.
The team also works closely with Porterhouse Medical colleagues to ensure our campaigns and solutions are driven by powerful, real-world insights and truly make a difference to people’s lives.
A summary of who we are looking for
The Consultancy has grown rapidly in the last few years, and we are now looking for an enthusiastic and proactive Operations Manager to join the team.
Specifically, we need someone who is looking for a long-term challenge:
- This is a brand new role created to support our current research team of 10 with international qualitative fieldwork management (quantitative fieldwork would be a bonus but not a ‘must’)
- This will give you the chance to help us build how this role operates for the team and best in class international fieldwork management practices
- You would also be responsible for a range of operational support and management domains, including, but not limited to:
- Compliance with pharmacovigilance requirements from our clients
- Audits from our client partners
- Development and oversight of Standard Operating Processes (SOPs) for operations and international fieldwork management
- Management of third-party partners across the world
Within the first 6 months, we expect your role to be dominated (90%+) by international qualitative (and potentially quantitative) fieldwork management commitments, however, over time we expect your role to expand organically into the compliance and audit support domains also. As such, you will need to be willing to engage with this side of operations support also.
As the research team and work expands, you will have the opportunity to grow your Operations team to accommodate evolving requirements.
Operations Manager
Based in central London or Reading; 2 days required to be in office per week (usually Tuesdays and Thursdays), other days can work from home.
As an Operations Manager, your key responsibilities will include:
Fieldwork domain:
- Understanding project objectives and how these will be addressed by the research
- Managing international fieldwork suppliers throughout the research lifecycle:
- On-boarding new suppliers using compliant SOPs
- Regular networking with suppliers to keep up to date with offerings, rebates, etc.
- Managing a supplier database
- Performance tracking suppliers
- Managing recruitment and updates with suppliers for the research team
- Managing the translation and proofreading of research materials
- Managing the moderation and analyst set-up for each project
- Working with the research team to problem-solve fieldwork issues
- Ensuring projects are progressing as per the timeline
- Demonstrating awareness of project timelines and proactively preparing for the next steps
- Ensure fieldwork costs are within specified budgets; negotiating where needed
- Proactively look for cost saving opportunities and ways to increase in individual projects
Compliance/pharmacovigilance domain
- Build an awareness of difference in PV requirements for different pharma clients
- Ensure that suppliers and the research team abide by the pharmacovigilance requirements specific for each pharma client, e.g.
- AE Training
- AE Reporting
- AE Reconciliations
- Ensure that AE training from the research team and suppliers is always up to date & compliant
Audit support domain
- Assist the Research Directors with document gathering/building required by pharmaco audits
- Support the Research Directors with abiding to key deadlines for CAPAs (corrective and preventive action) identified by individual audits
Desired background and skills
We are looking for experienced operations/fieldwork controllers who are able to juggle the fast-pace and dynamic workload typical of this space. You should be approachable and friendly, with excellent communication skills. As this role will require you to build the function from the ground up, we need you to be practical and proactive.
In your role you will need to maintain our reputation as a first-class insight and medical communications agency delivering insight projects and scientific programmes of the highest quality. Specifically, we are looking for individuals with the following skills, attributes and qualifications:
- At least three years’ experience as an operations/fieldwork controller for a pharma insight agency
- Excellent English language skills and meticulous attention to detail
- Good working knowledge of Microsoft Office (Word, PowerPoint and Excel) and Adobe Acrobat
- The ability to pick up and understand new information rapidly, and to work well both in a team and individually
- A strong work ethic and a solution-focused ‘can do’ attitude combined with intellectual curiosity and creativity
- A self-starter with a passion for research, communications and healthcare
